Inviting a Team Member Managing Team Members Best Practices

It is month two. The person who set up the agent is on holiday. Three new questions have appeared in Content Gaps that nobody has acted on. A source went out of sync last week and nobody resynced it. A customer got a wrong answer yesterday because an article was updated in the knowledge base but the agent was not told.

None of this happens when more than one person owns the agent. Inviting your teammates takes two minutes. It means conversations get reviewed, sources stay current, and the agent keeps getting better instead of quietly falling behind while everyone assumes someone else is handling it.

Inviting a Team Member

  1. Click your profile avatar in the top right corner of the dashboard.
  2. Select Invite Users from the dropdown menu.
  3. You'll land on the Team Members page, which lists everyone who currently has access to your Outlearn account.
  4. Click Invite Member.
  5. Enter the email address of the person you want to invite and follow the prompts.

Your teammate will receive an email invitation with a link to join your Outlearn account.

Managing Team Members

From the Team Members page you can:

  • Search for a specific member using the search bar.
  • Filter the list to narrow down by role or status.
  • Manage a member by clicking the three dots (⋯) next to their name - this lets you change their role or remove them from the account.

Best Practices

  • Invite anyone who will be managing knowledge sources, reviewing conversations, or handling agent configuration - the more eyes on it, the better the agent gets over time.
  • Remove team members who no longer need access as soon as they leave your organization.
